Client Success & Project Coordinator (Software Agency)

Job Title: Client Success & Project Coordinator (UK Software Agency) Job Overview: miclabs.io is a UK-based software agency delivering modern web, mobile, and custom software solutions. We are looking for an articulate, highly organized, and client-focused Client Success & Project Coordinator to serve as the main point of contact for our international clients. In this role, you will lead client meetings, keep projects on schedule, understand client requests or concerns, and collaborate closely with our engineering team to ensure smooth delivery. Key Responsibilities: - Client Communication & Meetings: Join and host client video calls, take clear meeting minutes, build strong professional relationships, and ensure clients feel heard and supported. - Project & Milestone Tracking: Track ongoing deliverables, update project management boards (e.g., Trello, ClickUp, Jira, or Notion), and ensure timelines are respected. - Problem Solving & Escalation: Act as the first line of support for client inquiries, translate technical updates into client-friendly language, and escalate technical roadblocks or requests directly to leadership/developers. - Status Reporting: Prepare weekly or milestone-based progress updates for both clients and internal management. - Meeting Scheduling & Follow-ups: Coordinate calendar invites across different time zones and ensure all action items are followed up promptly. Requirements: - C1/C2 or Native-level English proficiency (both written and spoken). Clear accent, strong conversational confidence, and executive-level written communication are essential. - Proven experience in a client-facing role (Account Management, Client Success, or Project Coordination) within a software, IT, or digital agency environment. - Basic understanding of software development lifecycles (you do not need to code, but you should understand terms like milestones, QA, bugs, staging, deployment, APIs, etc.). - Outstanding organizational, multitasking, and documentation skills. - Reliable high-speed internet connection, a quiet workspace, and professional video call equipment (webcam & headset). Nice-to-Have: - Experience working with UK/European or US clients. - Familiarity with project tools like Slack, Notion, ClickUp, Linear, or Jira.
