About the Role
Growe Supply | Remote | Full-Time | $350-400/month starting
1. The Opportunity in 30 Seconds
We're hiring someone who will become the right hand of our founding team. Your job is to own everything that keeps the CEO office running without friction—full inbox management, calendar ownership, meeting coordination, expense tracking, travel arrangements, and making sure all internal follow-throughs actually happen. When the founders are in meetings, you're in their inbox. When the team needs to report data, you're the one ensuring the scorecard is current. When a meeting ends, you're the one writing it up and chasing action items to close. If you do this role well, you will free up our founders to focus entirely on growing the business. We have a structured 5-level career path with clear promotion criteria for top performers.
This works if: You're exceptionally organized, discreet with confidential information, proactive about anticipating what's needed next, and thrive in a role where you're the operational glue holding everything together.
This doesn't work if: You want to be a passive calendar manager, are uncomfortable holding people accountable on follow-throughs, or need constant direction on what to do next.
2. What You'll Actually Do (First 6 Months)
You'll take ownership of everything administrative across the entire business. Here's what that looks like:
Daily tasks (70% of role):
- Own the founder's email inbox end-to-end—triage incoming messages, flag priorities, draft responses for approval, and archive what's been handled
- Own the founder's calendar completely—schedule meetings, block time for deep work, manage conflicts, and send reminders
- Coordinate all internal and external meetings—send invites, prepare agendas, circulate pre-read materials
- Track expenses and receipts across the business—ensure everything is logged, organized, and submitted correctly
- Maintain all personal and business documents in organized, retrievable filing systems
- Keep Trello boards current—update card statuses, add notes, archive completed tasks, and ensure hygiene across all boards
- Update the company scorecard with accurate data inputs each reporting cycle
- Coordinate travel arrangements for the founding team when required
Weekly tasks (30% of role):
- Take detailed meeting minutes for leadership and team meetings
- Chase all action items and follow-throughs from meetings until they are resolved and closed
- Manage internal team coordination—ensure the right people have the right information at the right time
- Identify tasks or commitments that are falling behind and surface them to leadership proactively

- How a growing e-commerce and wholesale company operates at the leadership level
- Executive communication, scheduling, and operational systems
- Working directly with the founding team across every function of the business
- Beginning to own specific operational sub-functions based on your strengths
3. Our Career System (Why This Is Different)
We have a 5-level mastery system for all team members:
L2 (Junior) <- You start here | $350-400/month
L3 (Senior) <- Most reach in 6-12 months | $600-800/month + profit sharing
L4 (Lead) | $1,000-1,500/month + profit sharing
L5 (Principal) | $2,000+/month + profit sharing
How promotions work: When you're ready, you request it. You hire and train your replacement. Pass = promoted. Don't pass = return to current level with clear feedback, try again in 6 months.
First 90 days: Trial period for both of us. Frequent feedback, fair warnings if things aren't working.
4. Who Gets Promoted
Beyond doing good work, we look for:
- Self-directed: "Manager of one" mentality—you see what needs to be done and you do it
- Strong communicator: Can write clearly and professionally in English (non-negotiable for an EA role—you will be writing on behalf of the founders)
- Comfortable holding people accountable: You can follow up on deadlines and have direct conversations when things slip.
- Proactive: You anticipate what's needed before being asked, not after
- Discreet: You handle confidential information with complete professionalism
- Obsessed learner: Can teach yourself new systems and skills in months, not years

- Follow-through obsessed: When you take ownership of a task or action item, it gets done without reminders
- Business-minded: Genuinely curious about how businesses work and grow

5. Requirements
Must have:
- Advanced English (speaking, reading, writing)
- Exceptional organizational skills and attention to detail
- Reliable internet + dedicated workspace
- Can learn new tools quickly (Google Workspace, Trello, calendar tools)
- Proactive and anticipatory mindset—you see what's needed before being asked
- Completely comfortable handling confidential business and personal information with full discretion
Nice to have:
- Additional languages (Burmese, Mandarin, Thai, Tagalog, Vietnamese)
- Previous executive assistant, operations coordinator, or personal assistant experience
- Project management tool experience (We use Trello)
- Experience managing calendars and inboxes for busy executives
Location:
- Remote, but ideally same timezone as Singapore (GMT+8) for real-time collaboration
6. Compensation
Starting (L2):
- Base: Expected to pay USD$350/month (At 176 hours/month, 9.30am to 6.30pm GMT+08, Mon-Fri, excluding public holidays)
- Bonus: Up to $50/month (At this level for outstanding performance)
- Independence: Our VAs operate on a clock in-clock out basis, so you will have complete control over your hours, work remotely as long as projects and task deadlines are met without delay.
Growth: Proven performers typically reach L3 ($600-800/month + profit sharing) within 12 months.

8. Quick FAQs
Q: Is $350/month enough?
A: It's entry-level pay for entry-level work. Prove you can run operations autonomously, and you'll be at $600-800+ within a year.
Q: Will I actually get promoted?
A: We have objective criteria and promote from within. You control your growth.
Q: What if I'm not good at everything?
A: There will be training provided. As long as you are curious, and willing to learn, there is no problem. Our policy on this is make every mistake in the book, but don't make them twice.
Q: How is this different from your other VA roles?
A: Other VAs own specific functions (like e-commerce operations or B2B admin). You work directly with the founding team, have visibility across every function of the business, and are the person responsible for making sure the leadership layer runs without friction. It's a higher-trust, higher-exposure role.
Q: Will I be managing other people?
A: You won't be a manager, but you will be coordinating across internal team members—sending follow-ups, chasing action items, and ensuring things don't slip through the cracks. If you're uncomfortable with accountability conversations, this isn't the right fit.
Q: Do I need to be available outside of working hours?
A: Your core hours are 9.30am-6.30pm GMT+8, Mon-Fri. Occasional out-of-hours requests may come up (travel logistics, urgent messages), but these are exceptions and will be communicated clearly in advance.
