About the Role

1. The Opportunity in 30 Seconds
We're hiring someone who will become the operational backbone of our B2B wholesale sales team. You'll handle every admin and follow-up task that keeps our B2B accounts running smoothly—payment reminders, order confirmations, invoicing, AR tracking, and CRM maintenance—so our Account Executive can focus 100% on acquiring and growing wholesale accounts. You'll also be the first point of administrative contact for our B2B clients, ensuring nothing falls through the cracks between a sale and a settled invoice. We have a structured 5-level career path with clear promotion criteria for top performers.
This works if: You're detail-obsessed, a clear written communicator, and want to learn how B2B wholesale operations actually work from the inside.
This doesn't work if: You want to do sales yourself, are uncomfortable chasing payments, or need constant hand-holding on repetitive admin tasks.
2. What You'll Actually Do (First 6 Months)
Daily tasks (70% of role):
- Send WhatsApp reminders to B2B clients for outstanding payments and reorder prompts
- Manage the payment reminder sequence system to ensure no client slips through
- Send order confirmation and acknowledgement messages to clients after every order
- Raise, send, and track invoices for all B2B wholesale transactions
- Follow through on accounts receivable — monitor outstanding invoices and escalate to the AE when needed
- Handle new account onboarding admin tasks (forms, welcome messages, documentation)
Keep all CRM records and Trello pipeline cards up-to-date and accurate
- Provide admin support to the Account Executive (handler support, document prep, scheduling)
Documentation tasks (30% of role):
- Transcribe video-recorded processes into written SOPs using our documentation template
- Create and organize SOP pages following our established SOP format
- Build Trello task cards for each workflow step and link to corresponding SOPs
- Maintain and update existing SOPs as processes evolve
- Support async onboarding infrastructure so new hires can self-serve training materials

- How B2B wholesale sales and accounts receivable operations work end-to-end
- Working directly with an Account Executive and senior leadership
- Building reliable systems for client communication and payment follow-through
- Beginning to own one specific function based on your strengths (AR, onboarding admin, CRM ops)
3. Our Career System (Why This Is Different)
We have a 5-level mastery system for all team members:
L2 (Junior) ← You start here | $350-400/month
L3 (Senior) ← Most reach in 6-12 months | $600-800/month + profit sharing
L4 (Lead) | $1,000-1,500/month + profit sharing
L5 (Principal) | $2,000+/month + profit sharing
How promotions work: When you're ready, you request it. You hire and train your replacement. Pass = promoted. Don't pass = return to current level with clear feedback, try again in 6 months.
First 90 days: Trial period for both of us. Frequent feedback, fair warnings if things aren't working.

5. Requirements
Must have:
- Advanced English (speaking, reading, writing)—you'll communicate with B2B clients professionally
- Strong attention to detail (managing client orders and quotes requires zero errors)
- Reliable internet + dedicated workspace
- Can learn new tools quickly (Take.App, Trello, Google Workspace)
- Process-oriented mindset—you enjoy creating order from chaos
- Comfortable with repetitive but high-stakes follow-up tasks
- Comfortable working cross-functionally with sales team and other departments
Nice to have:
- Additional languages (Burmese, Mandarin, Thai, Tagalog, Vietnamese)
- Previous accounts receivable, B2B admin, or sales support experience
- CRM or project management tool experience (We use Take.App and Trello)
- Familiarity with invoicing workflows or accounting tools
Location:
- Remote, but ideally same timezone as Singapore (GMT+8) for real-time collaboration
6. Compensation
Starting (L2):
- Base: Expected to pay USD$350/month (At 176 hours/month, 9.30am to 6.30pm GMT+08, Mon-Fri, excluding public holidays)
- Bonus: Up to $50/month (At this level for outstanding performance)
- Independence: Our VAs operate on a clock in-clock out basis, so you will have complete control over your hours, work remotely as long as projects and task deadlines are met without delay.

8. Quick FAQs
Q: Is $350/month enough?
A: It's entry-level pay for entry-level work. Prove you can become a manager-of-one, and you will succeed in this company.
Q: Will I actually get promoted?
A: We have objective criteria and promote from within. You control your growth.
Q: What if I'm not good at everything?
A: There will be training provided. As long as you are curious, and willing to learn, there is no problem. Our policy on this is make every mistake in the book, but don't make them twice.
Q: Will I be doing actual sales?
A: No. You handle all the admin so our Account Executives can focus on selling. If you want to do sales, this isn't the right role. But you'll learn how B2B sales operations work, which is valuable if you want to move into sales ops or account management later.
Q: Do I need to know Take.App or Trello already?
A: No. We'll train you. As long as you can learn new tools quickly and follow structured processes, you'll be fine.
