About the Role
Growe Supply | Remote | Full-Time | $350-400/month starting
1. The Opportunity in 30 Seconds
We're hiring someone who will become the administrative engine of our Finance & Admin function. You'll own everything that keeps our back-office running without friction—document management, SOP documentation, administrative follow-ups, reporting, scorecard maintenance, and general workflow administration. You're not a bookkeeper. You're the person who makes sure every document is where it should be, every process is documented, every submission is done on time, and the leadership team is never chasing paper. Within 6-12 months, you'll be running our entire business administration function autonomously. We have a structured 5-level career path with clear promotion criteria for top performers.
This works if: You're organized to a fault, love creating systems and documentation, are excellent at follow-through, and want to own the operational backbone of a growing company.
This doesn't work if: You prefer purely creative or analytical work, struggle with repetitive admin tasks, or need constant reminders to follow up on things.
2. What You'll Actually Do (First 6 Months)
Daily tasks (70% of role):
- Maintain and organize all company documents and files across Google Drive and relevant platforms
- Transcribe video-recorded processes into written SOPs using our documentation templates
- Follow up on outstanding administrative tasks and chase internal team members until closure
- Administer company processes and workflows—making sure everything runs on schedule
- Update and maintain company scorecards and reporting dashboards with accurate data
- Clear administrative backlogs—anything that has piled up and needs to be systematically worked through
- Act as the go-to person for all document submissions (regulatory, vendor, internal)
- Monitor and replenish warehouse and office supplies when stock falls below threshold
Monthly tasks:
- Generate operational reports and summaries for leadership review
- Audit document filing systems for accuracy and completeness
- Maintain SOP library and flag any outdated processes for updating
- Coordinate with team members across functions to gather inputs for reporting
Documentation tasks (30% of role):
- Transcribe video-recorded processes into written SOPs using our GitBook template
- Create and organize GitBook pages following our established SOP format
- Build Trello task cards for each workflow step and link to corresponding SOPs
- Maintain and update existing SOPs as processes evolve
- Support async onboarding infrastructure across all company functions

- Documentation systems and SOP best practices that scale a company
- Working directly with Finance & Admin leadership and the founding team
- Beginning to own specific administrative sub-functions based on your strengths
3. Our Career System (Why This Is Different)
We have a 5-level mastery system for all team members:
L2 (Junior) <- You start here | $350-400/month
L3 (Senior) <- Most reach in 6-12 months | $600-800/month + profit sharing
L4 (Lead) | $1,000-1,500/month + profit sharing
L5 (Principal) | $2,000+/month + profit sharing
How promotions work: When you're ready, you request it. You hire and train your replacement. Pass = promoted. Don't pass = return to current level with clear feedback, try again in 6 months.
First 90 days: Trial period for both of us. Frequent feedback, fair warnings if things aren't working.

- Strong communicator: Can explain processes clearly to non-finance team members
- Obsessed learner: Can teach yourself new tools and workflows in months, not years

- Detail-oriented: Documents, submissions, and scorecards must be accurate every time
- Proactive: You catch issues before they become problems
- Systems thinker: Naturally sees how to improve administrative processes and controls

5. Requirements
Must have:
- Advanced English (reading and writing—you'll produce documentation the whole company uses)
- Exceptional organizational skills and attention to detail
- Reliable internet + dedicated workspace
- Can learn new tools quickly (Google Workspace, Trello, Xero...etc)
- Process-oriented mindset—you enjoy creating structure and documenting workflows
- Strong follow-up instincts—you chase outstanding items proactively, not reactively
Nice to have:
- Additional languages (Burmese, Mandarin, Thai, Tagalog, Vietnamese)
- Previous business administration, operations support, or documentation experience
- Experience with SOP creation or documentation tools
- Project management tool experience (We use Trello)
- Familiarity with basic financial reporting or scorecards
Location:
- Remote, but ideally same timezone as Singapore (GMT+8) for real-time collaboration
6. Compensation
Starting (L2):
- Base: Expected to pay USD$350/month (At 176 hours/month, 9.30am to 6.30pm GMT+8, Mon-Fri, excluding public holidays)
- Bonus: Up to $50/month (At this level for outstanding performance)
- Independence: Our VAs operate on a clock in-clock out basis, so you will have complete control over your hours, work remotely as long as projects and task deadlines are met without delay.

8. Quick FAQs
Q: Is $350/month enough?
A: It's entry-level pay for entry-level work. Prove you can become a manager-of-one, and you will succeed in this company.
Q: Will I actually get promoted?
A: We have objective criteria and promote from within. You control your growth.
Q: What if I'm not good at everything?
A: There will be training provided. As long as you are curious, and willing to learn, there is no problem. Our policy on this is make every mistake in the book, but don't make them twice.
Q: Is this a bookkeeping or accounting role?
A: No. This is a business administration role. You're not managing the accounts or doing bookkeeping—you're the person who keeps the administrative side of the business running: documents, SOPs, submissions, reporting, follow-ups, and supplies. Think of yourself as the person who makes sure nothing is disorganized or stuck.
Q: Do I need to know our tools already?
A: No. We'll train you. As long as you can learn quickly and follow structured templates, you'll be fine.
Q: What does "administrative backlog processing" mean?
A: It means working through accumulated tasks or documentation that hasn't been kept up to date—filing documents that have piled up, updating records that are outdated, clearing to-do lists that have grown too long. You'll be given clear priorities and systems to work through these efficiently.
