Role Overview
Wing Assistant is seeking an Expert General Virtual Assistant to support a US law firm. This remote position is ideal for a skilled VA looking to contribute to a dynamic team and assist with various administrative tasks.
What You'll Do
- Organize and store documents, files, and spreadsheets for tracking outreach contacts and follow-ups.
- Perform data entry tasks, including preparing lead lists, transcribing audio recordings, and organizing research notes.
- Conduct research to build a spreadsheet of referral sources for the personal injury practice, including medical-related businesses in the US.
- Update and collect information for marketing and sales campaigns through a contract tracking spreadsheet.
- Manage basic outreach, filter phone calls, and handle various administrative tasks.
- Monitor online platforms for LSAT-related questions and share relevant threads.
- Coordinate team calendars to prevent scheduling conflicts and ensure timely meetings.
- Set up and manage the phone system (RingCentral).
- Respond to emails, organize the inbox, and notify clients about important correspondence.
- Perform ad hoc tasks as needed.
Requirements
- At least 5 years of experience as a Virtual Assistant.
- Must be at least 18 years old and have completed Senior High School.
- Excellent communication skills via phone, email, and instant messaging, with a warm and casual tone.
- Strong organizational and time management skills.
- Ability to work during graveyard shifts.
- Tech-savvy with familiarity in desktop sharing, cloud services, and VoIP (RingCentral).
- Proficient in word-processing software and spreadsheets (e.g., MS Office).
- Knowledge of online calendars and scheduling tools (e.g., Google Calendar).
- A background in legal or sales is preferred.
