About the Role
Role Overview
We're seeking a detail-oriented and tech-savvy virtual executive assistant to support a business owner in day-to-day operations, organization, and communication. This is a part-time role to start, with the potential to grow into a full-time position as you build trust and familiarity. You'll play a key role in ensuring smooth operations by managing essential administrative tasks and communications.
What You'll Do
- Perform daily and weekly checks to ensure automations and data imports are running correctly, logging and flagging any issues.
- Apply routine updates to website content using a custom PHP/HTML backend (copy-paste level; no coding required).
- Check and maintain marketing material stock levels across warehouse and office locations via phone and email.
- Serve as a communication liaison, checking in with internal team members on behalf of the owner and relaying anything that needs attention.
- Handle general administrative tasks as assigned.
- Manage the general company inbox, sorting and forwarding emails to relevant departments and sending holding or clarification replies.
- Act as a first filter for inbound inquiries, distinguishing buy-side vs sell-side contacts and routing them accordingly.
- Support calendar management for the owner.
Requirements
- Strong attention to detail and commitment to consistency and follow-through.
- Comfortable working independently with minimal supervision.
- Tech-savvy and comfortable with Google Workspace.
- Good written English for professional email correspondence.
- Reliable availability during EST business hours (approx. 9am start).
